Planning Committee Roles

  • Committee Lead & Communications:
    Coordinate the committee’s meetings! Send out event calendar invite, track RSVPs, and serve as the main point of contact for questions.

  • Agenda & Activities:
    Develop the event agenda and special activities in coordination with the Committee Lead and the BVMRF leadership team.

  • Location, Decor, & Setup:
    Book the location (e.g. VA room) and obtain necessary approvals. Coordinate decor, organize setup and breakdown, and ensure the space is event-ready one hour prior to start.

  • Food & Beverages:
    Arrange catering for the event, including food and beverages. (E.g. with the VA Canteen or approved non-VA vendors, finalizing selections based on attendance numbers and dietary considerations.)

  • Other:
    For those who want to help wherever needed! (Invite design; photography, or just lend a hand!)
